SpendLogic — Procurement-Compliance Documentation Templating
Cadocary designed and implemented an end-to-end procurement-compliance documentation templating engine for SpendLogic, guiding federal contractors through the CPSR documentation that keeps their purchasing systems audit-ready.
Client: SpendLogic
Cadocary served as the software design and implementation consultancy for this engagement — delivering white-glove, end-to-end product implementation that is better and cheaper at once.
For SpendLogic, Cadocary designed and implemented an end-to-end procurement-compliance documentation templating engine.
Problem
Federal contractors and agencies live under the Contractor Purchasing System Review (CPSR) — a high-stakes audit of how they document and justify their purchasing decisions. The documentation is voluminous, unforgiving, and easy to get subtly wrong.
Assembled by hand, that paperwork becomes compliance roulette: every buyer formats price analyses differently, source justifications drift out of policy, and a single inconsistent SpendFile can put an entire purchasing system's approval at risk.
Approach
Cadocary started inside the compliance workflow rather than the code. We mapped how a compliant purchase file actually comes together — the price analyses, source justifications, and supporting records a CPSR reviewer expects to see — and where practitioners lose time or introduce risk.
From that model we designed a guided templating engine: instead of blank documents, buyers answer structured prompts and the system produces standardized, policy-aligned documentation every time. The compliance expertise is encoded once, so it no longer depends on any one person's memory.
What was built
We built and implemented the SpendLogic templating engine end to end — the product that turns structured inputs into complete, CPSR-ready documentation.
- SpendFile documentation folders that assemble a complete, consistent purchase record
- Guided price analysis generation with standardized, reviewer-ready formatting
- Structured source justifications that stay aligned with purchasing policy
- Integration with clients' existing ERP systems, plus a FedRAMP version for government agencies
Outcome
SpendLogic reports that its customers achieve a 20:1 ROI and a 100% CPSR pass rate since 2016 — turning purchasing-system reviews from a source of anxiety into a predictable, repeatable outcome.
Backed by 50 years of GovCon experience and integrated with the ERP systems contractors already run, the platform delivers compliance that scales with the business rather than fighting it.
